Introduction to Facility Management (FM) Health and Safety Policies and Procedures

Today, I am going to discuss some most important and critical characteristics of Facility Management’ health and safety policies and procedures. Attached is the PowerPoint uploaded by HSE Documents for the HSE professionals and trainers. Make sure that these technical guidelines are in place to protect each of us including the management’s public, site visitors, suppliers, sub-contractors, and environment, and ensure a safe working environment. We all must understand and adhere to them accordingly.


1. Emergency Evacuation Procedures (EEPs) and Assembly Points

1.1. Any Emergency requires a quick response time.

1.2. In case of any critical and crucial emergency situation, for example, a fire or any other hazardous condition or event, knowing how to evacuate from the facility quickly and safely is very important.

1.3. Familiarize yourself with the nearest emergency exits and assembly points. These locations are designated safe areas where we gather after evacuating.

1.4. Always keep in mind that, our safety depends on our ability and competency to act quickly and positively without getting panic during any emergency situation.


2. Location of Emergency Exits, Fire Alarms, and Fire Extinguishers

2.1. Knowing the location of emergency equipment can make a significant difference during a crisis.

2.2. Take a moment to identify the nearest fire exits, fire alarms, and fire extinguishers in your work area.

2.3. If you're uncertain about their location, ask your supervisor or a colleague.

2.4. Your quick actions can help prevent a small incident from escalating into a major one.


3. Reporting Procedures for Accidents, Incidents, and Near Misses

3.1. Accidents, incidents, and near misses must be reported promptly.

3.2. Even if an incident looks minor, reporting it makes sure that proper corrective initiatives are taken to prevent such future occurrences.

3.3. Accidents, incidents, and near misses reporting system always help to protect us and improve safety overall and establishment of positive safety culture.

3.4. Don't hesitate to report any situation that could compromise your safety or the safety of others


4. Importance of Personal Protective Equipment (PPE)

4.1. Wearing the appropriate PPE is a crucial part of our safety.

4.2. Whether it's safety glasses, helmets, gloves, or other protective gear, make sure you're equipped with the right PPE for your task.

4.3. PPE acts as a barrier between you and potential hazards, reducing the risk of injury.


5. Safe Use and Storage of PPE

5.1. Using PPE correctly is just as important as wearing it.

5.2. Ensure your PPE fits well and is properly adjusted.

5.3. When not in use, store your PPE in designated areas to keep it clean and in good condition.

5.4. A well-maintained PPE not only enhances your safety but also prolongs its usability. 


6. Overview of Hazard Communication (Chemical Labels, Safety Data Sheets)

6.1. Working with chemicals requires awareness of potential hazards.

6.2. Always read labels and refer to Safety Data Sheets (SDS) before using any chemical.

6.3. Such technical guidelines and informative documents provide us with much needed much-needed and very crucial information about the safe handling, storage, and disposal of hazardous chemicals or substances.

6.4. If you have questions or concerns about a chemical, don't hesitate to ask. 


7. Good Housekeeping Practices

7.1. A tidy workspace is a safer workspace.

7.2. Keep walkways, work areas, and common spaces free from clutter and obstacles. Proper housekeeping minimizes tripping hazards and helps prevent accidents.


8. Importance of Ergonomics and Proper Workstation Setup

8.1. Ergonomics is about setting up your workspace to reduce strain and fatigue.

8.2. Adjust your chair, monitor, and keyboard to ensure a comfortable posture.

8.3. Taking care of your ergonomic needs can prevent long-term health issues.

9.1. Safety is a collective effort and teamwork.

9.2. By following the above-mentioned safety guidelines and practicing them routinely, we make an excellent contribution towards a safe, secure, and positive safety culture and environment friendly for ourselves, our colleagues, and upcoming generations.
